The room rental fee includes any standard room set (i.e., tables, chairs, raised head table up to 20 people, lectern, and microphones). There will be additional charges for each set change, AV technicians, use of the building outside of regular hours, and/or extensive room sets. The IMU Guest and Event Services Manager will determine which arrangements are defined as "extensive." There will be no charge for set changes that are part of a full-service catered event.
Concerts may be scheduled in the Main Lounge, Ballroom, and The Hawkeye.
Standard set rooms are to be left in the same condition they were found prior to the event. If set-up time is required to return the room to a standard set, a set-change fee will be assessed. See section 4, Rental Categories, Rate Schedules and Fees. IMU Guest & Event Services Manager must approve meeting room set changes prior to the event date.
IMU Guest and Event Services reserves the right to require sponsoring organizations to use ushers to provide crowd control and assistance to ensure compliance with safety codes as it deems appropriate and necessary. Charges are the responsibility of the sponsoring organization.
Satellite up-link and downlink arrangements are made by the sponsoring organization directly with UI Broadcast Services. IMU Guest and Event Services will make arrangements for rooms and equipment.
